Learn which tasks send notifications, who receives them, and how to manage notification preferences.
This table lists the tasks in Petal Workforce that produce user notifications, who receives those notifications, and the criteria that determine when each notification is sent.
Notifications are sent in the web app, by email, and in the mobile app unless a row below says otherwise. Text messages are used only for Callouts.
| Task | Recipient | Details |
|---|---|---|
| Create an event – notify guests | Guests | The event creator chooses, for each event, whether to notify guests. If yes, guests are notified of the invitation. If no, notifications are not sent. |
| Create an event – notify the event creator of guest responses | Event creator | The event creator can opt out by selecting “Don’t send me response notifications.” Unless the creator opts out, the creator is notified when a guest accepts or declines. |
| Create an absence (single, bulk, or on behalf of another member) | Group planners (and group members with approval or notify permissions) | The recipients are notified when a member creates an absence. |
| Approve or reject an absence request | Requesting member | The requesting member is notified when the planner approves or rejects the request. |
| Transfer a shift to another provider | Receiving member | The receiving member is notified of the transfer request. The sender can include a comment. |
| Trade a shift with another provider | Receiving member | The member is notified of the trade request. |
| Accept or decline a shift trade or a shift transfer | Original requester | The original requester is notified when the request is accepted or declined. |
| Absence submission deadline reminder (period setting) | Group members | This reminder is optional, and is set for each period. Group members can be notified 1 week before the deadline, 1 day before the deadline, or both. |
| Publish a period / new schedule | Group members | Publishing notifies the group that a new schedule is available and adds assignments to calendars. |
| Apply post-publication changes | Group members | When editing a published period, planners can choose “Apply with notifications” or “Apply without notifications.” When the planner selects “Apply with notifications,” the group is notified. |
| Receive notifications about your schedule and shifts by email (Weekly digest) | Group members | Email only. Optional. Members get a Monday summary of the week’s schedule, open shifts, shortage shifts, and an email when a period schedule is published. |
| Add a member to a group (including external members) | New member | Email only. The new member gets an activation email. |
| Offer a shift on the Marketplace | Eligible members | Eligible members are notified when a shift is offered on the Marketplace. |
| Manage multiple Marketplace requests (approve or decline) | Selected member and non-selected members | The selected member is notified of the approval. Members who were not selected are notified that the shift is no longer available. |
| Callouts – notify eligible providers | Eligible providers | Eligible healthcare providers are notified by email, text message, or both, as set in the Callout profile. |
| Accept a Callout | Provider who accepted | The healthcare provider responds by email or text message, using the same channel that sent the Callout. |
| Callout acceptance confirmation (to the accepting provider) | Provider who accepted | The accepting provider receives web app and email notifications only when the Callout is completed. |
| Callout activity summary (to the planner) | Planner who started the Callout | In the web app and by email only. The summary covers acceptance and related activity, such as comments. |
Configurable notification preferences
Users can configure personal notification preferences on the profile page. Users can turn mobile app notifications and email notifications on or off for these categories:
- Shifts: Notifications for shift transfer and trade requests.
- Marketplace: Notifications when new shifts are offered on the Marketplace.
- Absences: Notifications for absence requests that concern the user.
- Events: Notifications for meeting invitations, cancellations, or modifications.
All of these notification categories are enabled by default for both email and mobile app notifications.
For more information on configuring notifications, see Change your notification preferences.
Additional configuration options are available to planners and admins for Marketplace and shift notifications. For example, a planner can opt out of receiving notifications for member groups for which the planner does not administer the schedule.
