As a planner, you can create a Callout profile.
A Callout profile is a collection of saved Callout settings that you can reuse each time that you start a Callout for an Open shift.
You must create at least one Callout profile before starting a Callout.
- In the side menu, select Scheduling
.
- Under Groups, select a group.
- In the calendar, select an Open shift.
- In Assignment, select Start Callout.
- Select Create Callout profile.
- In Callout profile name, enter a descriptive name for the Callout profile.
- (Optional) In Description, enter a description of the Callout profile.
- (Optional) Select Default profile to make this the default Callout profile.
- Select Next.
- Under Communication settings, configure these settings:
- Automated: Send notifications by email or text message and record responses automatically.
Note: The planner can still enter or edit responses manually. - Manual: Contact healthcare professionals by phone and record responses manually.
- Channels: If you select Automated, choose the notification channels (email, text message, or both).
- Time interval between notifications: If you select Automated, enter the time between notifications. The default interval for automated Callouts is 5 minutes.
- Automated: Send notifications by email or text message and record responses automatically.
- Select Next. Under Callout profile settings, a list of eligible healthcare professionals appears.
- Name: The name of the healthcare professional. The names in this column come from the Seniority list. These healthcare professionals have the Member with a permanent position status.
- Seniority: The length of time a healthcare professional has held a position, worked for an organization, or been part of a group.
- Period hours: The total number of hours that the healthcare professional is scheduled for the current period. Hours appear in red if the healthcare professional exceeds the scheduled hours.
- Daily hours: The number of hours the healthcare professional is already working on the current day.
- Employment status: Indicates whether the healthcare professional is a permanent employee or an employee on the Recall list.
- Eligible: Indicates if the healthcare professional has the necessary skills to work this shift, as defined in the Skills section.
- Last Callout answered: The date and time upon which the healthcare professional last responded to a Callout. Planners can use this information to prioritize professionals who responded the longest time ago.
- Filter the list of healthcare professionals.
- Daily hours: Shows healthcare professionals who can work a full shift because they are not assigned to another shift that day.
- Period overtime: Shows healthcare professionals who have not exceeded their regular hours. Use this filter to prioritize those not in overtime to help reduce costs.
- Employment status: Shows the employment status of each healthcare professional. Use this filter to prioritize permanent employees over those on a recall list.
- Order by response time: Shows when each healthcare professional last responded to a Callout. Use this filter to prioritize those who responded the longest time ago. The further in the past the Callout response, the higher the priority attributed to the healthcare professional.
- Eligible for shift: Shows healthcare professionals who are eligible for the shift. Use this filter to prioritize eligible professionals.
- Select Save.
