Adding a Temporary Replacement to a Shift

To add a temporary replacement to a specific shift, follow the steps below.

  • A temporary replacement allows to assign a member to the complete or part of the shift without changing the responsibility of the shift.

  • A temporary replacement must be done within 72 hours of the beginning of the shift, during the shift or 72 hours after the beginning of the shift.

  • If a member is not selected for the temporary replacement, a temporary gap is inserted.

  • A temporary gap is a period during which there is no member covering a specific shift.

  • It is possible to add more than one temprary replacements slots within the same shift period.

 

Prerequisite

  • You must be logged as a user with rights to access and modify the dashboard.

Steps

1. Access the dashboard and select the relevant shift. The shift details pane opens.

2. Click on Add a temporary replacement.

3. In the Add a temporary replacement pane, enter the following information :

  • Period of the temporary replacement using the Start time and End time fields
  • Relevant information or notes in the Details field

(i) The Start time and End time for the replacement must be included in the initial shift.

4. Select the member that will cover the selected period as a replacement.

(i) By default, the list shows members from the same schedule group.

  • Start typing a name in the Search field to show all members that correspond to your search criteria, indiscriminately from their association to schedule groups.

  • Only members with accounts can be searched and added for a replacement.
  • If you do not select a member as a replacement in this step, a temporary gap is inserted. See Adding a temporary gap below.

5. Click Add.

  • The shift tile is flagged with the temporary replacement icon.
  • The name of the replacement is indicated in the shift details panel.
  • While the replacement period is current, a blue pill indicates the end of the period.

6. Repeat previous steps if you wish to add more than one temporary replacement slot within the same shift.

 

Adding a temporary gap

1. Click on Add a temporary replacement.

2. Fill in the required information in the Add a temporary replacement pane, i.e. Start time, End time fields, as well as Details.

3. Do not select any member and click Add.

4. Click Add again in the confirmation message.

  • The shift tile is flagged with the temporary replacement icon.
  • The label Temporary Gap is added on the shift tile.
  • If the replacement is ongoing, a red pill indicates the end of the replacement period.
