Configuring the Web Offer for a Redirection Service

When you configure your online offer, you might want to reserve certain availabilities to medical professionnels who have access to redirections portals like RVSQ. For example, if a patient walks in the ER with a problem that could be treated in a clinic the next day, you’ll want the triage nurse to have access to specific availabilities that aren’t offered to the general population on the public portals so she can book the patient’s appointment right away and discharge him from ER.

Steps

  1. Start by selecting a service from the Offered Services list, and make sure its mandatory parameters are set. This includes the service name in French and English, its type, its category, and the target patients.Re_o_EN_1.png

     

  2.  Under the Web offer tab, add an online availability schedule. Click Edit and toggle the default Web offer ON.

  3.  Add the availabilities by clicking the + sign under one the day for which you wish to add a redirection offer. From the right side menu, under Availability, select Redirection.

  4. Select the Sources, or which professionals will have access to the availabilities. Check all the boxes that apply.

  5. Select the patient types who will be allowed to book an appointment during these times. Again, select all options that apply.

Note: The patient types you choose here take precedence over the choices made under the Settings tab. The patient type you selected under Settings applies to public offers, but not to redirection offers. Each redirection offer block may have a different target patient type.

For example, you may have a single service which is offered to orphan patients only on Mondays, but to both orphan patients and FMG patients the rest of the week.

These are dependent on the EMR’s schedule. Therefore, if your EMR’s schedule offers availabilities from 8:00 to 12:00, but you select 8:00 to 5:00 for the Web offer, the only displayed availabilities will be from 8:00 to 12:00. It also means you don’t have to worry about creating exceptions for holidays; those are covered in your EMR.

If your availabilities' timeframe is the same for multiple days, select all appropriate boxes. This will apply the configuration and you won’t have to repeat the operation for each day.

To accommodate your clinic’s needs, create as many blocks as needed. Here are some examples of situations where it might be useful:

  • A first block offers your availabilities publicly in the morning, and a second one reserves the afternoon for redirection patients.

  • The service is reserved to redirection, but the morning block is available to the ER nurse, and the afternoon block is available to the primary care access point (GAP).

Note: Even if you create a Web offer, no availabilities will show up if your EMR doesn’t offer any. Make sure you configure your EMR to offer availabilities corresponding to your Web offer so the Hub can import and display them on the portals.

An availability created in the EMR will only be published online if it falls inside the bracket defined by a Web offer. Availabilities outside of that bracket will never be published

 

7. Go to the Automatic publication tab to determine when the availabilities should be published to the portals.

The publication date represents the moment when the availabilities are displayed on the portals.

 

As the example below shows, you could decide to publish availabilities only 3 days before the actual appointments' date. Therefore, redirection personnel wouldn’t be able to book an appointment for the patient in a month, or even in a week. Even if the availabilities are created in your EMR and configured in your Web offer, no portal will display them until 3 days prior to the appointment date.

Note: Some service types have the option of creating more than one publication block. For more information, refer to the Automatic Publication article.

 

8. Confirm your service’s configuration is completed by navigating to the list of services, under Offered Services. If the Status column indicates the Configured mention, toggle the Web Publication button to activate your changes and launch the publication cycle.
