Planning the schedule for a period

To plan the schedule for a period using the Planning tool, follow the steps below.  

The Planning tool is used to plan the schedules. It is possible to work on the schedule without any impact on the members' calendard until the period is published.

 

Prerequisite

  • Be connected to the portal as a Planner
  • Have access to the group
  • Period must be created

Access in Petal

  • Home page> Left menu > Scheduling > Periods > Periods List
  • Open selected period > Plan

Steps

1. From the Periods List, select the period for which to configure the tasks.

2. Click on See period to open the Planning tool.

3. Click on the Plan tab.

Assigning a shift to one or several member(s)

In the Plan tab, there are different ways to assign shifts:

As a planner, you can ignore planning "problems". Warnings will assist you in the decision-making process. The application will not block you from making an assignment. 

 

Drag and drop

To assign a member to a shift, the member's name can be dragged and dropped onto a cell. To proceed, simply click and hold the member's name from Equity table (right column) and move it to the cell where you want to add them and drop. The member's initials will appear in the cell.

 

Using the arrows 

First, you must select a date and a shift by clicking on the corresponding cell. The selected cell, in which the assignment is to be made, will turn blue.

 

 

To assign a member, click on the arrow (which will go from gray to green) to the left of the desired member’s name in the Assignmenttable found in the right column.

 

 

Assigning an ineligible member to a shift

You can have access to all the Ineligible Members by toggling the list; simply click on the arrow. Ineligible members can be added to a shift.

Removing an assignment

  1. Click on the assignment.
  2. Click on the red minus sign (-) next to the member's name in the assignment table. 

 

3. If the changes have not yet been applied to the schedule,  click Cancel at the top of the screen to revert to the last saved changes. 

 

Changing the hours of the assignment

This applies when the hours of an assignment need to be edited without changing the actual hours of the shift.

1. Click on the cell and then click on the settings wheel to the right of the physician's name in the Assignment table. 

 

2. Specify the assigned hours. 

3. Click on Save.

Modified hours will only apply to the member for which the parameters were changed. For a global change, use the Tasks table.

 

 

Splitting a shift between two members

The shift must have been configured as "splittable" and have a minimum/maximum of 1:1 member. This configuration can be made in the Shifts section of the Scheduling module.

In a situation where the replacement is done on the day following the beginning of the shift, the second member needs to be assigned on that next day as shifts appear on the day when they begin.

For example, a 24h shift that begins at 10 pm.
Member #1 begins at 10 pm on Day ONE.
Member #2 will replace Member #1 for the last part of the shift which occurs on Day TWO. Member #3 begins the next shift as scheduled at 10 pm at the end of day TWO.

 

Step 1: Adjusting the number of members

  • Click on the Tasks tab.

 

  • Click on the cell where the shift must be shared. Then click on Edit.
  • Notice that the requirement is of "1".

  • Click the "+" to add members to the Maximum requirements and then click on Save.

  • The requirements changed from "1" to "1-2"

  • Apply Changes and go back to the Plan tab.
  • Assign the two members to the task.
  • Again Apply Changes.

Step 2: Specify the different moments

Now that the members are assigned to the shift, the actual moments when the members will be performing the same shift must be indicated.

  • Click on the cell then, click on the settings wheel, to the right of the member's name in the Assignment table. 

 

  • Specify the assigned hours. Save.
  • Repeat for each member. 

 

  • The shift is now shared between the two members and the times can be seen under their names.
  • The green settings wheel indicates that the assignment has been edited.
