Configuring absences categories for your group

To modify existing absences categories for your group or to create new ones, follow the steps below. 

For each calendar group, it is possible define the absences' properties such as defining:

  • Categories for the absences
  • Absences limits for the group
  • Entry limitation of absences 
  • Absences approval flow

Planner’s rights are required to modify absences' configuration.

 

Prerequisite

  • Connect to Portal with a planner profile
  • Have access to Group's calendar

Access in Petal

  • Home page > Left menu > Scheduling> Absences

Steps

1. From your left menu bar, click on Scheduling, then select Absences.

2. Click on the Categories tab.

The list of available category types is displayed.

Categories are the options from which the member can select when creating an absence.

 

3. Click on Display deactivated categories to include those in the list.

4.  To modify the display sequence of the categories, click on the icon below and slide the entries in the selected order.

5. To modify existing categories, click on the pencil on the row of the category type that you wish to modify.

If you modify the Impact of an existing category, the modification for the type will be effective from the start of the current period and for all the absences of this type in the future.

 

7. To remove a category type from the list, click on the bin icon on the same row.

Absences that were created with a category type that was removed afterwards, remain as such but the deleted option will not be available for selection. 

 

 

To create a new absence category

1. Click on Create new category.

2. In the New absence category panel, fill in information below.

 

Field Description

Category name

Acronym

Full name

Unique identifier with a maximum of 3 characters. Either the full name or the acronym will be displayed according to available space. 

Impact of the category on planning

Blocking

Preference 

 

Firm absence to consider in schedule planning 

Lower priority in schedule planning; For each preference category type, PRF will be appended to the category name to identify it

Treatement applied to the absence request

Approval required

Processing required

Approval process for this absence category type 

Time slots combinations

 

Value  is used as a weight to compile absences

Set as the default category

Category type selected by default when creating an absence

3. Click on Save to finish the creation.

4. Click on Cancel to return to the list of categories without saving the new category.
